# Email branding and templates

SECUREpass sends mail on its own — when an account is removed, when a sign-in is blocked, when a password reset succeeds or fails, when a dormant account is about to be cleaned up. Every one of those messages comes from a template, and every template can be rewritten to carry your organisation's wording and tone.

This guide covers where the templates live, what you can change in them, and the two things to leave alone.

## Opening the email templates

{% stepper %}
{% step %}

## Select Configuration

Select **Configuration** in the left navigation, then the **Email & SMS** card.

{% endstep %}

{% step %}

## Select Email Templates

Email & SMS opens on three tabs — **Configuration**, **Email Domains** and **Email Templates**. Select **Email Templates**.

The tab loads with one template already open. Everything below the tab bar belongs to whichever template is currently selected.

Selecting a name loads that template into the editor below.

## Editing a template

Each template has two editable parts.

**Subject** is the line the recipient sees in their inbox. It is a plain text field — type over it.

**Body** is the mail itself, shown in a rich-text editor with the message rendered exactly as it will arrive. The toolbar carries font, size, bold, italic, underline, text colour, alignment, indentation, lists and links, so wording and styling are both changed in the same place.

![](https://content.gitbook.com/content/W2srIAMN6RKFwvuEorV5/blobs/gyQ9Zacn4Hz5eMq3M1zk/assets/04.png)

Above is **Account\_Deleted** — subject *Your SECUREpass account has been removed*, and a body that tells the recipient their access has ended and points them at support if it was a mistake.

**authentication\_blocked** is built the same way.

![](https://content.gitbook.com/content/W2srIAMN6RKFwvuEorV5/blobs/OFS0bItBmdYdRh5xS56W/assets/05.png)

Its subject is *A sign-in to your SECUREpass account was blocked*, and the body lays out when the attempt happened, where it came from and why it was stopped, followed by what the recipient should do about it. What you see in the editor is what lands in their inbox.

### Placeholders

Text in square brackets — `[Recipient]`, `[OrgName]`, `[DateTime]`, `[Location]`, `[Reason]` — is filled in by SECUREpass when the mail is sent.

{% hint style="warning" %}
**Important**

Do not edit or delete the contents of square brackets. You may move a placeholder or use it again elsewhere in the message, but changing the text inside the brackets breaks the substitution and the mail goes out with the literal bracket text in place of the value.
{% endhint %}

### Saving

**Save** commits your changes to that template. Every mail of that type sent afterwards uses the new version.

**Change to Default** discards your version and restores the template SECUREpass shipped. Use it when an edit has gone wrong and you want a clean starting point — it is the fastest way back, and it affects only the template currently open.
